Tools for venues

Every space, every date, one calendar.

Every business gets the pipeline, contracts, client portal, marketing and books. A venue also gets the tools below, switched on the day it signs up.

Holds that keep themselves tidy.

Put a first or second hold on a space for a day. A hold runs out on its own date, two weeks unless you say otherwise, and the ones running out this week are waiting at the top with Book it, Another week and Release.

Ask whether a space is free for a day, a number of guests and seated or standing, and see the whole month a building at a time. Nothing is booked or released until somebody presses the button.

Availability and holds: a first hold running out this week, and a search for a free space

Several spaces, one place.

Each building and each space in it, with how many it seats and how many it holds standing, and a note on what it is for. The minimum spend for each space, by day and season, is kept with it for the office.

When a booking clashes with another in the same space, it says so in amber before anyone promises the date.

The event order, printed for your team.

The spaces, the times, when vendors may come in, your staff and the guest count, then the rain plan and the run of show in order, on one printed page for the people setting the room.

The couple see the same run of show and the rain plan on their own Venue tab once you tick it.

Floor plans drawn to the room.

Lay out the room to its real size, drag the tables, the dance floor, the stage and the bar into place, and see the seats against the guest count. Start from your usual layout, or from the last one in the same space.

Print it for the set-up team, or take the drawing for the planner.

Outside vendors' paperwork, chased.

Each outside vendor's certificate of insurance and your house rules, with who has sent what. Email them a private link to send their certificate and agree to the rules, and the certificate lands on the event for your team.

A vendor arriving before vendors may come in is flagged in amber, and anyone still owing paperwork in the last two weeks shows up on Today.
